STEM Canada's Online Medical Science Institute: Terms and Conditions

Admission Information: The following terms and definitions provide details about the admissions process for STEM
Canada's online Medical Science Institute for students aged 8 -17.

Admission to a Program: Admission is based on a review of submitted documentation, student submission essay,
compliance with age, and an evaluation of any one reference provided by the applicant.

Program Requirements: Applicants must meet minimum age criteria (8–17 years old) at the time of application. Access to the virtual platform is necessary, and students must possess or have access to a suitable device and stable internet connection.

Applicants are expected to have foundational knowledge appropriate to their age group in core subjects such as mathematics, science, reading comprehension and an advanced understanding and commany of English both written and verbal. Specific courses may have additional requirements

Applicants may be required to submit supplementary materials, such as a statement of interest, a portfolio, or proof of prior engagement in science-related activities. Specific supplemental requirements will vary based on the program.

Evaluation of applicants considers the admission essay, past academic performance, demonstrated interest in STEM disciplines, and aptitude for virtual learning environments. We work with all eligible students to ensure admission requirements are met. A recommendation or a reference will fast track admissions applications.

Applicants are expected to provide current academic disclosure including whether or not they are an international students, publicly or privately enrolled in a school, or if they are homeschooled.

Applicants may be invited to participate in further assessments, including interviews, online assessments, or skills-based evaluations to determine readiness for specific programs.

In some cases, pre-admissions testing may be required to assess language aptitude, subject-specific knowledge and/or readiness for advanced content.

Formal offers of acceptance will be communicated via email and are contingent upon verification of all admission criteria including submission of the $59 application fee, $89 for international students. Acceptance must be confirmed within a specified timeframe.

To secure a place in the program, applicants must confirm their acceptance through our online system within the timeframe stipulated in the offer letter.

Conditional offers may be made to applicants who are awaiting language testing or fee submission, or other outstanding documentation. Final admission is contingent upon meeting all conditions

Applicants placed on the waitlist will be notified if space becomes available. Acceptance offers may be made from the waitlist as late as the beginning of the program.

While not typically required for general admission, any necessary medical disclosures specific to online learning needs or accommodations should be submitted at the time of application.

Since programs are delivered in English, applicants must have sufficient proficiency in English to fully participate. A demonstrated ability to engage with course materials and instructions in English is expected.

Priority may be given to applicants who demonstrate significant medical science interest, involvement in STEM-related disciplines and activities, or who are currently enrolled in the STEM Canada Global STEM Leadership Program (active and in good-standing).

When a program receives registration for more students than available spots, admission will be based on academic merit, fulfillment of program requirements, and date of the application submission.

As this program is intended for students ages 8-17, for the purposes of this program, applicants outside the typical age range (8–17 years) will not be eligible. This ensures a peer-appropriate learning environment.

Home-schooled students are welcome to apply.

Students who previously withdrew or were dismissed from a program may apply for readmission. This process includes a review of past academic performance and the circumstances leading to withdrawal or dismissal. Students removed due to involuntary withdrawal may not apply for readmission.

All students are expected to apply y the posted deadline. Late admission can be accommodated for classes up to 2 weeks after the course commencement with a late admission administration fee of $25. (All students, including member students )

Student Records Information

Student records are maintained by the Office of the Registrar. Records officers oversee and process all activities related to student records, including registration, academic achievement documentation, and other related services. Freedom of Information

STEM Canada’s Online Medical Science Institute is committed to protecting the privacy of its students in accordance with relevant laws and regulations. This includes maintaining confidentiality of student records, ensuring that information is only shared with authorized parties, and providing students with access to their own records upon request.

The academic record includes details of a student’s courses, grades, certificates earned, and any recognitions, such as distinctions or honors. This record can be requested for official use, including applications for further education or employment.

The financial record contains details of all financial transactions related to a student’s enrollment, including membership and course payments, and any outstanding balances. Payment plans and fee structures are outlined during the admissions process and must be adhered to as part of continued enrollment.

It is the responsibility of the student to provide accurate information during the application and enrollment process and to promptly report any changes. STEM Canada reserves the right to request verification of certain pieces of data to ensure records accuracy.

Registration Information

Students are required to complete all registration procedures through STEM Canada’s Online Medical Science Institute platform. Registration details, including deadlines, processes, and required documentation, will be provided through the institute’s website and official communication channels.

Attendance: Attendance policies vary depending on the program and course requirements. As a virtual program, students must attend scheduled online sessions, participate in live lectures, and engage with synchronous content in accordance with each course’s attendance guidelines. Failure to meet attendance requirements may impact academic standing and progression.

Full-Time, Part-Time, Passive Status in a Program: There is no active full-time or part-time status for students at MSI. Students who obtain an official MSI membership may take as few or as many courses they can fit into their schedule in any given semester and will be classified as a member student. Passive student status is defined by a non-member student who enrolls one course at a time, not seeking membership. Passive students may decide to become a member status student by enrolling in the membership option.

Credit transfers are not applicable to MSI. Secondary school. Credits earned at MSI do not count towards post secondary credits at any post secondary institution, nor count as compulsory credits for admission to post secondary programming.

Students can add or drop courses as required. No monetary refunds will be granted for dropped or incomplete courses. within the stipulated add/drop period each term.

No course auditing will be allowed. Passive students will only have access to the course(s) they have paid for.

Students may request forms or letters, such as confirmation of enrollment, via the registrar’s office or through online request forms. Processing times may vary.

Upon acceptance and payment of fee for member students, the MSI card serves as the official student identification card for STEM Canada’s Medical Science Institute. Virtual identification options may also be provided for use in online environments and with affinity partners.

Course hours will be detailed in the course syllabus provided at the start of the term. These include scheduled live sessions, expected hours for self-study, and completion of assignments or assessments.

Member students may be invited to attend virtual networking and career events. These could include “Meet the Scientists” days, Q&A panels, or live interactive workshops with industry professionals.

Community and Social Engagement Rules

As part of our commitment to maintaining a positive and inclusive online community, students are expected to adhere to specific rules and norms governing all interactions within our virtual spaces, including forums, discussion boards, and social groups. This includes:

 – Respecting the opinions and perspectives of others.
 – Refraining from harassment, bullying, or the use of offensive language.
 – Participating constructively in group discussions and collaborative projects. Violations of these rules may lead to warnings, suspension of access,         or removal from the program, depending on the severity of the behavior. We aim to create a safe, collaborative, and inclusive space for all learners.

Our flexible learning approach accommodates students’ diverse needs by providing options for synchronous interactive learning, including expanding your learning worksheets, textbooks, labs and projects. This flexibility allows students to engage with the curriculum on their own schedules. While attendance at live sessions may be recommended for some courses, students should refer to individual course guidelines for any specific attendance requirements.

To encourage engagement and innovation, we periodically offer challenges and competitions that allow students to showcase their creativity and problem-solving skills. These may include design competitions, hackathons, innovation contests, and other creative initiatives, often with scholarships, awards, or educational prizes available to winners. Participation in these events is governed by specific rules, including deadlines and criteria for evaluation, which will be communicated at the start of each challenge.

Students enrolled in applicable courses may gain access to our virtual labs and hands-on simulations, designed to replicate real-world scenarios and experiments. These tools provide practical experience within a safe, online environment. All students using these virtual resources must follow usage guidelines, which include treating all virtual content with academic integrity and adhering to any specific safety protocols, even within the digital setting.

We expect all students to demonstrate responsible digital citizenship when engaging online.
This includes:

  • Maintaining a respectful tone during live sessions, forums, and in direct communication with peers and staff.
  • Protecting personal data and not sharing sensitive information.
  • Upholding academic integrity and refraining from sharing or distributing restricted educational content. Violations of our Online Behavior Code, such as harassment, disruption, or plagiarism, may lead to disciplinary action, as outlined in our Student Conduct Policy.

Parents and family members play a vital role in supporting students’ educational journeys. Optional engagement programs are available to facilitate family participation in their child’s learning, including virtual workshops, forums, and educational events. Participation in these activities is encouraged but not mandatory, and all engagement must adhere to respectful communication guidelines and program protocols.
